Room Reservation and Guidelines

Welcome to the UVA-Wise Library's Room Reservation and Guidelines! Whether you're a student or faculty member this guide will provide you with essential information on reserving rooms and understanding the guidelines that govern their use within our Libra

Event, Meeting & Study Space Guidelines

Please read the following policy before requesting a room reservation in the UVA Wise Library.  All spaces and rooms are self-service.

  • In keeping with our mission, rooms, and spaces in the Library principally support the academic and research-related activities of students and faculty.

    • Those who are not affiliated with the College can only reserve the 3rd-floor conference room. For extra IT assistance, they will have to arrange assistance through Rosa Bott and pay a fee. 

  • All requests are processed on a first-requested, first-accommodated basis.

  • Due to the volume of requests we receive, not all requests can be accommodated.

  • We generally cannot accommodate standing weekly meetings; however, recurring meeting requests will be evaluated by date, time, space being requested, and frequency.

    • NOTE: The Library reserves the right to limit the frequency of meetings by any group, based on demand, or to reschedule with 48 hours' notice or in case of an emergency.

    • NOTE: In case of inclement weather, the group is responsible for calling the Library for obtaining a closing schedule, or checking the Library’s website.

  • Events must occur within regular Library hours.  Events approved for outside normal Library hours will require additional staff or security; charges for these services will be billed to the requesting department or organization.

  • Library supervisory staff may enter a room or space at any time to ensure compliance with the Library’s reservation policy.

  • We reserve the right to deny room requests that are inconsistent with the policies set forth herein.

Accessibility

A/V support

  • The A/V equipment in the rooms is self-service. Library staff cannot provide A/V support for your event.

  • The group must make its own arrangements for audiovisual equipment not available in the reserved room or space and is responsible for any Library equipment used.

  • If you need help with A/V or room technology, please contact the Office of Information Technology (OIT) at oit@uvawise.edu or submit a help ticket online. OIT can provide an orientation to the A/V equipment as availability allows.  OIT AV needs at least 72 business hours advance notice to conduct an AV orientation.

  • OIT AV can also be contacted for on-site troubleshooting using the phone number below; however, they cannot attend the event to provide constant service.

  • The Library does not provide any additional A/V equipment not already in the room.

  • You must turn off all A/V equipment after your event.

Food, beverage, and housekeeping

  • Catering is permitted in the Library’s Conference Room and study rooms only.

    • NOTE: Catering is not allowed in instruction rooms or the Archive Reading Room.

  • The event contact is responsible for meeting caterers at the event.

  • Food must be served/staged inside the room.

  • Ensure that garbage is placed in provided receptacles and tables are wiped down prior to leaving the space. Please provide your own cleaning supplies.
